Introduction

Payroll templates are predesigned spreadsheets that help organize, calculate, and track payroll data. Using a template can help with time and efficiency because it contains prefilled information like basic salary, allowances, adjustments and etc according to the requirement.

With the new feature:

  • Super Admins and Payroll managers can now generate custom payroll files according to their specifications with system information plus additional data points.

  • These files can be used to process payroll with your respective banks in UAE, submit payroll information to DEWSs, and for other reporting purposes.

Purpose of the feature:

  • Easily create or edit payroll files saving the time spent during the payroll processing.

  • Prevent clerical level errors due to manual work done in payroll excels.

How to create a Payroll file template.

  • Go to the side menu > Configuration

  • Click on the Payroll tab

  • Click the option Payroll File Templates > Create Payroll File Template

At this stage, you will have an option to create a new payroll processing template i.e. Salary Information File (SIF) or a non-payroll processing template.

CREATE A TEMPLATE FOR PAYROLL PROCESSING

Select from a pre-defined template or Upload your existing file to edit and add custom fields.

After selecting a pre-defined template, it allows you to select the sheet and preview it before uploading.

CREATE A PAYROLL REPORTING TEMPLATE

The below steps are used to set up both the Payroll processing and Payroll reporting template.

Step 1: Define your SIF file template

Once you have selected the required template you can start defining the template details like:

  • SIF template name

  • Payment method

  • Bank name

  • Trade License

This can be used to differentiate between other templates while downloading and submitting transactions.

Step 2: Map Data

Mapping data allows you to match the data fields to the payroll file template you are customizing to capture the data automatically.

  • Click on the three dots to rename the column, move the column to left / right or delete the column.

  • Mark the column as an empty field or map the data point from the dropdown list.

  • If the required column is not reflected you can also create a new payroll custom field to map the data from.

  • Refer to Configuration of Custom Fields before adding a new column.

  • Add a new column to reflect on the file template.

Step 3: Review and Save template

Review the details assigned and mapped by previewing the file and save the template.
