You can add variable pay to an individual employee profile or perform a bulk upload by following the steps outlined below.
Uploading Variable Pay in bulk
To upload variable pay, go to Settings -> Payroll -> Start as shown below.
A. You can choose to close the dialog box and enter the data directly on the platform.
B. or you can click on the Download Excel template option and enter the data in Excel, then you can upload the Excel.
A. Entering the data directly on the platform
Step 1- You can enter the additions data directly on the platform by adding rows by clicking on the "Add new" option as shown below
Step 2- Double-click on the Employee name cell to get the employee list and choose the employee from the pre-fetched list to enter their variable pay data.
You can then enter other data like variable Pay Item Type, Start and end dates & amount in the cells by double-clicking on it.
Note: You can only enter or edit data displayed in black font. Fields shown in grey font, such as Base Currency, are non-editable from this view. To update such fields, please navigate to the employee’s Payroll Profile and make the changes there.
Step 3- Click on OK
The data gets saved once you click on OK
Step 4- Once the data gets saved, you can either choose to download the saved Excel by clicking on Download saved Excel or Upload a new Excel file or go back to the main screen by clicking on Go back to Dashboard
B. Uploading the data via Excel
Step 1- In case the data is huge then you can upload all the variable pay data by downloading the Excel file and entering all data in Excel and then uploading that Excel back to the platform.
Click on Download Excel template
Step 2- Once you download the Excel, all you need to do is input the data in the downloaded Excel as shown below.
Note:
Employee name in the Excel needs to be entered manually and it must match exactly as per the platform. It should be the First name followed by the last name, as entered on the platform. The system will NOT allow the Excel to be uploaded if the name of the employee in the Excel does not match with that on the platform.
You can have multiple entries for the same employee i.e. in the above image, you can see that employee Tur Nohan is preset twice, one entry is for Commission and another entry is for Overtime.
Step 3- You can then upload the Excel by clicking on Upload Excel file
Step 4- The data gets uploaded on the table as shown below, click on Save
Please note that if you try to enter the same data for the same set of employees twice by either entering the data directly on the platform or by uploading an excel, the data will get uploaded twice and does not get overridden.
