How to Set up a Performance Management Cycle

This article describes the steps to set up the Performance Management Cycle for your company.

Set up Performance Management cycle

As an admin, you can set up the performance cycle for the company in 6 easy steps

Step 1: Create a Performance Management Cycle

Go to Configuration > Performance Management > Create New Cycle

Step 2: Cycle Details

Set the Performance Cycle start date and duration & add employees to the cycle

  • Set a Name for the cycle

  • Set the start date of the Performance cycle & duration of the cycle (3 months,6 months, or 1 year)

  • Click on Manage list to select the employees to be included/excluded from the cycle.

    • To select an employee, click on the double arrow or click on the employee's name.

    • To remove the selection, click on the 'X' icon against the employee name.

    • Once the selection is final, Click on Done

  • Now that the Start date, Duration & employees have been assigned click on 'Continue'

Step 3: Goal Setting

Set up permissions for who can set goals

  • HR - Permission to set goals for the employees is given to HR by default

  • Line Managers - you can click and check the box to enable and allow Line Managers to be able to add goals for their direct subordinates

  • Employees - you can click and check the box to enable and allow the employees themselves to be able to add their own goals.

  • Click on Continue once enabled the necessary permission.

Step 4: Performance Review

Set up the Review type and who can Calibrate the reviews.

  • Select review types for this cycle - Set up Review permissions

    • Self-Review: Employees will be able to submit a review of their own performance if enabled.

    • Line manager to employee: Line manager review their employees on the goals assigned to them is enabled by default.

  • Select who can calibrate reviews - Set up calibration permissions

    • HR - HR can calibrate goal rating for all employees by Default.

    • Line Manager: Line managers can calibrate goal ratings for employees that report to them if enabled.

  • Click on Continue once enabled the necessary permission.

Step 5: Timeline

Set up timelines for activities within the cycle

  • Goal Setting:

    • A period where goals can be created and assigned based on the permissions set.

    • Select the start and end date for the goal-setting period

    • Employees will be unable to add new goals after this period.

  • Goal Approval:

    • A period where line managers/HR can review the goals added & approve them.

    • Select the start and end date for the goal approval period

    • The goal approval start date can be only after the end date for goal creation.

    • Once approved the goals will be locked.

  • Tracking:

    • During this phase, employees can update their goal progress on the platform.

    • Through comments, they can request and receive feedback from their manager.

  • Self Review:

    • A period wherein employees can take their self-review.

    • Select the start and end date for the Self Review period

    • The Self Review start date can be only after the end date for goal approval.

    • Self-review will be locked after this period ends.

  • Line Manager to employee Review:

    • A period wherein Line managers can complete employee reviews.

    • Select the start and end date for the 'Line Manager to employee Review' period.

    • The Self Review start date can be only after the end date for goal approval.

  • Calibration and report sharing: Once reviews are complete HR can calibrate ratings and enable line managers to share performance reports

  • Click on Continue once timelines are set up.

Step 6: Summary

Once everything is set up, view the summary and click on Create cycle

Note: Cycle dates cannot overlap (Only one performance cycle can run at a time)
