How to track expiring documents?

Managing all expiring employee documents

You can track the expiry of all your employee documents on the Bayzat platform.

To do this, you can either go to the Employees or the Documents tab, where you can filter all employee documents by clicking on the Filters option as shown below.

You can filter documents by choosing the Document type, Expiry date, and Assigned/Unassigned documents.

Apart from this, since Passports and Visas are important documents to be tracked across all clients, we also give you 2 additional ways to track this.

Method 1

On the 1st of every month, you will receive an automated email notifying you about -

  • All the employee Visas expiring in the next 4 months (including the current month)

  • All the employee Passports expiring in the next 7 months (including the current month)

Note: As a Super Admin, you will receive such automated emails for 'All' your employees on the 1st of every month. However, such automated emails are even sent out to those specific employees on the 1st of the month 'only for their own document/s' which are nearing expiry.

Method 2

As a Super Admin, on the right-hand side of the Dashboard, you can access a 12 month view of key expiring documents (passports and visas).

As seen in the below image, there is 1 employee whose Visa is expiring in the month of November.

Clicking on it, will take you to a page with the filtered list of such employees whose passport/visa is expiring.
