How to fill in leave balances for your employees

Now that you have set up your leave cycle, the different types of leave categories and the allowance limits for each, your next step is calculating final leave balances to be visible for each employee on Bayzat.

To begin with, fill in the below data points for all your employees on the list for each of your leave policies. The default includes vacation, sick and unpaid:

  • Total days allowed

  • Total days carried over from previous cycle

  • Total days used (as of date auto populated on the sheet)

Following the same logic, fill in the data for all custom leave types by editing the title of leave types from Column M onward.  

To calculate an employee's available balance, we need to input the number of actual days used since the beginning of the cycle out of the total allowed days.

Example: Company A offers a vacation leave allowance of 30 calendar days to all employees, and 15 sick leave days.

Employee John Smith (as shown below) has taken 10 vacation leaves and 4 sick leaves so far.


To fill in the time off table for actual days:

  • Actual Vacation Used = Column G

  • Actual Sick Used = Column J

When John Smith logs into Bayzat, his vacation balance will be 10 days used out of 30 (column H)

Carry Over Days

A carry over days policy means employees are allowed to carry over unused vacation days to the following leave cycle.

Going back to our example, Company A has a company policy with a maximum allowance of 15 unused vacation days that can be carried over from one year to the next.

John Smith did not use all his vacation days from last cycle (previous 30 days given to him last year), he had 6 days remaining which need to be added to his new balance when the leave cycle was refreshed (new balance = 36 days)

To fill in the time off table for carry over days:

  • Carry Over Allowance = Column E

  • Actual Days Carried Over = Column F

Hence, John Smith's final Vacation Leave Balance on Bayzat = 10 days used out of 36 in this cycle
